Background & Job Description

The Programme Assistant will provide administrative and programmatic support to the WHO Kenya Country Office. The role is crucial in promoting technical cooperation, coordinating assistance for health development, and contributing to the collection, analysis, and dissemination of health information in line with global and regional strategies.

The incumbent will support Program Managers and the Representative’s Office by ensuring efficient correspondence management, planning of meetings, preparation of reports, and overall office operations.


Key Responsibilities

  • Draft, finalize, and check correspondence, ensuring adherence to WHO styles and accuracy.
  • Organize and coordinate internal and external meetings, including preparing business plans, financial documents, invitations, cost estimates, and travel requests.
  • Analyze incoming correspondence and requests, highlight critical issues, and provide background information for Program Managers.
  • Schedule meetings, take minutes, and follow up on action points to ensure timely responses to WHO requests.
  • Prepare and verify information documents for meetings, seminars, and workshops.
  • Ensure technical reports and documents conform to WHO standards, rules, and editing styles.
  • Use monitoring tools to track deadlines and manage correspondence efficiently.
  • Plan and manage travel arrangements, including airline and hotel reservations, for Program Administrators.
  • Track implementation of mission recommendations and provide general administrative support.

Qualifications

Education:

  • Essential: Completion of secondary school with administrative training.
  • Desirable: University degree in Business Administration or a related field.

Experience:

  • Essential: Minimum of 5 years in a recognized public or private institution.
  • Desirable: Experience in WHO or other UN agencies; experience with Oracle-based systems or other ERP-like systems.

Skills & Competencies:

  • Mastery of modern office technology and software applications.
  • Ability to analyze and explain procedures, maintain office efficiency, and provide guidance to staff.
  • Strong interpersonal skills and ability to work in a multicultural environment.
  • Competencies: teamwork, respecting cultural differences, communication, adaptability in a changing environment, producing results.

Languages:

  • Essential: Expert knowledge of English.
  • Desirable: Intermediate knowledge of Swahili.

Remuneration

  • Annual net base salary starting at KES 2,642,557 (subject to mandatory deductions).
  • 30 days of annual leave.
