About the Role
The Program Assistant / Senior Program Assistant role provides vital administrative and organizational support to foundation leaders and their teams. This role is ideal for professionals who thrive in fast-paced environments, possess strong attention to detail, and are adept at managing multiple tasks simultaneously. While both positions share administrative responsibilities, Senior Program Assistants take on more complex, strategic, and high-level tasks.

Key Responsibilities
General Duties (Both Levels)
- Calendar & Meeting Management: Coordinate and manage complex schedules, ensuring seamless communication across different time zones.
- Travel Arrangements: Book and oversee comprehensive travel plans, ensuring efficiency for multiple team members.
- Event Coordination: Assist in organizing meetings, conferences, field visits, and team-building events.
- Communication & Documentation: Manage internal and external communications, handle confidential information, and maintain accurate records.
- Financial Processing: Support expense reports, reimbursements, and invoice reconciliations.
- Knowledge & Data Management: Maintain document organization, manage team sites, and track projects efficiently.
Differences Between Program Assistant & Senior Program Assistant Roles
- Program Assistant: Typically manages 4-8 calendars and coordinates logistics for general meetings and events.
- Senior Program Assistant: Supports senior leaders (Deputy Directors and above) by handling complex scheduling, travel, and strategic planning.
- Program Assistant: Assists in routine administrative support and financial tasks.
- Senior Program Assistant: Leads high-level projects, manages sophisticated financial duties, and mentors junior staff.
Qualifications & Experience
- Bachelor’s degree or equivalent experience.
- Administrative experience in a fast-paced organization, ideally supporting multiple team members.
- Ability to set priorities, meet deadlines, and work independently.
- Strong interpersonal skills to collaborate with cross-functional teams.
- Familiarity with Microsoft Office Suite and document management systems.
For Senior Program Assistant roles:
- Extensive experience supporting senior leadership, executives, or management teams.
- Strong problem-solving and decision-making abilities, with a strategic mindset.
Salary & Benefits
The Gates Foundation is committed to offering competitive salaries aligned with the candidate’s skills, experience, and expertise. The expected salary range for these roles is:
- Program Assistant: $29.98 – $41.98 per hour.
- Senior Program Assistant: $35.01 – $49.00 per hour.
