The Sub-Regional Office (SRO) Brussels plays a dual strategic role:
- Operational Oversight: Providing programme, financial, and administrative support to Country Offices across the EEA+ sub-region.
- Resource Mobilization Hub: Assisting COs with fundraising, donor engagement, and partnership development.
The Senior Programme Support Associate role is central to supporting programme planning, monitoring, reporting, and fundraising, particularly for offices with limited capacity.

Under the supervision of the Sub-Regional Director and coordination with relevant units, the successful candidate will provide operational, administrative, and programme support to Country Offices, ensuring efficient project development, implementation, and compliance.
Key Responsibilities
Programme Support and Coordination
- Assist in day-to-day programme planning, implementation, monitoring, and reporting.
- Review project proposals, work plans, and reports for accuracy, completeness, and compliance.
- Track programme progress, flagging risks and delays and following up on corrective actions.
- Facilitate knowledge sharing and dissemination of lessons learned across Country Offices.
- Support training and orientation sessions to enhance staff understanding of programme requirements.
Resource Mobilization and Donor Reporting
- Compile inputs for donor proposals, reports, and concept notes.
- Maintain donor reporting schedules and track funding opportunities.
- Provide logistical and administrative support for workshops, meetings, and coordination events.
- Draft background notes, minutes, and follow-up documentation for stakeholder engagement.
Compliance, Governance, and Accountability
- Maintain programme files and documentation in line with organizational standards.
- Assist in monitoring programme indicators and preparing consolidated progress updates.
- Support closure of audit and compliance recommendations.
Operational and Administrative Support
- Supervise unit staff, ensuring effective task allocation and performance monitoring.
- Support planning of visits, meetings, and agendas for SRO leadership.
- Provide surge support during peak workloads or emergency scale-ups.
- Liaise with COs, RO, and HQ units to ensure smooth programme and financial processes.
Qualifications & Experience
Education:
- Bachelor’s degree in Political Science, Social Sciences, International Relations, Development Studies, Migration Studies, Human Rights, Law, or related field, with 4 years relevant experience, or
- School diploma with 6 years relevant professional experience.
Experience:
- Programme support, coordination, or administration experience in international organizations, UN agencies, or development institutions.
- Familiarity with project planning, monitoring, reporting, and donor compliance.
- Supervisory experience with small teams, ideally in multi-country or regional contexts.
Skills:
- Strong organizational and programme coordination abilities.
- Excellent written and verbal communication skills.
- Team leadership, collaboration, and interpersonal relationship-building.
Languages:
- Fluent English (oral and written) is required.
- Working knowledge of French is desirable.
