Background & Job Description

The Program Assistant (Relocation Focal Point and Protocol Coordinator) will be based in Riyadh, Saudi Arabia, and serve the Middle East, North Africa, Afghanistan, and Pakistan Region. This position is housed within the Gulf Cooperation Council (GCC) Country Management Unit, which leads World Bank engagement with Bahrain, Kuwait, Oman, Qatar, Saudi Arabia, and the United Arab Emirates. The Riyadh office supports advisory services, high-level missions, project coordination, and government partnerships under Saudi Arabia’s Vision 2030 goals.

The Program Assistant will support operations, relocation logistics, government liaison work, event coordination, document management, and administrative processes for World Bank staff, consultants, and visiting missions. The role includes protocol management, visa coordination, high-level delegation support, and office logistics. The selected candidate will work under the guidance of the Regional Hub Office Manager while collaborating with the Program Manager, Senior Program Assistant, and relocation teams.


Key Responsibilities

Liaison and Protocol Support

  • Coordinate with Saudi government entities including the Ministry of Foreign Affairs, Ministry of Interior, and local police.
  • Facilitate travel and relocation processes for World Bank Group staff and their families.
  • Ensure proper issuance of visas, immigration documents, and protocols for arrivals and departures.
  • Support logistics and procedures for high-level visits and missions.

Relocation and Settling-in Assistance

  • Manage relocation logistics for incoming staff and dependents.
  • Assist with acquiring driver’s licenses, opening bank accounts, and providing local orientation.
  • Coordinate with internal relocation teams to ensure smooth transitions.

Office Logistics and Administration

  • Organize office moves, workspace transitions, and systems improvements.
  • Manage travel requests for consultants and visiting missions.
  • Handle bookings, ticketing, and visa requests for staff travel.
  • Maintain accurate distribution lists, contact directories, and work unit files.

Documentation and Quality Control

  • Draft, proofread, and format internal and external documents.
  • Ensure compliance with World Bank policies and guidelines.
  • Review documents for consistency and accuracy.

Event and Meeting Coordination

  • Support meeting planning, workshops, and video conferences.
  • Prepare agendas, materials, invitations, and follow-up tasks.
  • Build and maintain participant databases and event reports.

Problem Solving and Reporting

  • Respond to non-routine requests requiring research or coordination.
  • Generate reports when needed and provide analytical support.

Collaboration, Training, and Backup Duties

  • Train colleagues to serve as protocol support backups.

Qualifications

Education & Certifications

  • A minimum of a bachelor’s degree is required.

Experience

  • At least 2 to 5 years of relevant experience in administration, logistics, office support, or protocol coordination.
  • Prior work in donor agencies, multilaterals, government, or international organizations is an advantage.
  • Fluency in Arabic and English is required.
