This Program Assistant role is based in the Office of the Senior Managing Director (SMD) for Development Policy and Partnerships. The SMD oversees strategic initiatives such as the Evolution Roadmap, G20 and G7 engagements, the Knowledge Compact, and the replenishment of the International Development Association (IDA), which provides concessional financing to the world’s poorest countries.

Within this scope, the position sits in the Outcomes Delivery Unit, part of a high-performing, dynamic department focused on development results. The unit supports the WBG Scorecard, cross-cutting outcome metrics, global jobs agendas, and coordination across departments and external partners. The role will support the team during the 2025 Annual Meetings and ongoing operations, requiring strong coordination skills, adaptability, and the ability to manage high volumes of administrative tasks.

Key Responsibilities

Administrative and Calendar Management

  • Provide full administrative support to the Manager and team.
  • Oversee calendar management, appointment scheduling, and meeting coordination.
  • Support staff with scheduling VC/AC/Webex meetings and reserving conference rooms.

Event Support and Meeting Coordination

  • Organize internal and external events.
  • Send invitations, confirm attendance, and handle follow-up communications.
  • Arrange logistics for annual meetings and unit-led events.

Documentation and Correspondence

  • Draft, review, format, and revise documentation and routine correspondence.
  • Prepare presentation materials and briefings as needed.
  • Check files for accuracy and ensure alignment with unit standards.

Logistics and Workspace Administration

  • Manage visitor passes, couriers, workspace readiness, and meeting room setups.
  • Maintain office supplies and respond to staff administrative requests.
  • Coordinate physical workspace logistics as needed.

Support for Travel and Recruitment

  • Assist with travel arrangements for team members and visitors.
  • Support recruitment-related scheduling and interviews.

Communication and Coordination

  • Maintain updated distribution lists and contact databases.
  • Coordinate with administrative assistants across departments and units.
  • Serve as part of the ACS (Administrative Client Support) team to provide backup to management.

Additional Tasks

  • Address ad-hoc administrative assignments from the Manager or Department Executive Assistant.
  • Collaborate closely with colleagues to ensure smooth delivery of events and projects.
  • Provide surge support during peak demand periods, especially around major meetings.

Qualifications

Education & Certifications

Applicants must meet one of the following:

  • High school diploma with a minimum of 7 years of relevant experience, or
  • Bachelor’s degree with at least 4 years of experience in high-paced administrative environments.

Experience

  • Proven experience in administration, office support, scheduling, or protocol roles.
  • Experience in international organizations, donor agencies, government departments, or nonprofits is an advantage.
