About WHO & The Programme

The WHO Division of Health Emergencies (WHE) is responsible for supporting countries in assessing, preventing, and managing health emergency risks. The division leads and coordinates international health responses to contain outbreaks and provide effective relief to affected populations. This role is part of the WHO Country Office in Ukraine and supports administrative functions essential to health emergency operations.

Position Overview

As a Programme Assistant, you will provide administrative and coordination support to one of the work areas within the WHO Country Office. This is a roster-based position, meaning qualified candidates may be considered for temporary contracts as needs arise.

Key Responsibilities

  • Draft correspondence, reports, and documents based on written and verbal input from the professional team.
  • Coordinate and monitor project/programme activities, ensuring proper documentation and compliance with deadlines.
  • Use WHO’s ERP system (GSM) to manage budget levels, financial expenditures, travel arrangements, and procurement needs.
  • Assist in organizing in-country and international meetings, workshops, and training programs, including administrative and logistical support.
  • Maintain accurate filing systems, update relevant databases, and ensure easy retrieval of programme information.
  • Respond to inquiries and provide administrative guidance to staff and external stakeholders.
  • Support donor proposals, donor reports, and resource management tasks.

Required Qualifications & Experience

Education:

  • Essential: Completion of secondary school or technical/commercial school.
  • Desirable: Higher education in public or business administration is an asset.

Experience:

  • Essential: Minimum 5 years of relevant administrative experience (or 3 years with a university degree).
  • Desirable: Experience in an international organization, preferably within WHO or the UN system.

Languages

  • Essential: Fluency in English and local language.
  • Desirable: Knowledge of another official UN language.

Skills & Technology Proficiency

  • Strong skills in MS Office (Word, Excel, PowerPoint) and note-taking.
  • Familiarity with ERP systems (such as Oracle-based GSM) is a plus.

Salary & Benefits

  • Base Salary: USD 19,696 (Annual, G5 Grade)
  • Leave Benefits: 30 days of annual leave
