The Human Resources Intern role sits within the HR Cluster and supports the HR Officer across recruitment, HR systems, and general administrative functions. The position is fully remote, allowing candidates based in any location with strong English proficiency to contribute to CIVICUS operations.

This internship emphasizes digital and administrative support, with a focus on recruitment workflows, employee data capture, document management, and HR communications. Candidates will work across multiple systems, maintain accuracy in records, and ensure confidentiality is upheld.


Key Responsibilities

Recruitment Administrative Support

  • Publish job descriptions and vacancy posts across approved recruitment platforms.
  • Ensure all necessary approvals are documented and filed for auditing purposes.
  • Screen incoming CVs and applications based on role requirements.
  • Support correspondence with candidates under the direction of the HR Officer.
  • Assist in scheduling interviews with shortlisted applicants.
  • Communicate job vacancies internally for transparency and referrals.
  • Update and maintain the recruitment tracker to support reporting and monitoring.

Human Resource Systems Management

  • Capture new starters, changes, and exits in the Employee Self-Service (ESS) system.
  • Respond to staff queries related to system entries in a timely manner.
  • Save and organize documents required for monthly payroll processing in accordance with internal guidelines.
  • Help maintain accurate digital personnel files for easy retrieval and compliance.

General Administration

  • Support audit preparation by ensuring HR files and records are current and properly stored.
  • Update the monthly organogram and upload it to SharePoint.
  • Take accurate meeting minutes when assigned.
  • Send U.S. General Payslips to applicable staff each month.
  • Assist with Unemployment Insurance Fund (UIF) filing.
  • Upload invoices for payment processing.
  • Contribute to document filing, tracking, and other record-keeping tasks.

Other Duties

  • Perform additional responsibilities within the scope of the job as needed.
  • Uphold CIVICUS values and principles in all professional interactions.
  • Maintain confidentiality and demonstrate professionalism in all assignments.

Qualifications

Education & Certifications

  • Degree in Human Resources or equivalent training/experience.
  • Recruitment experience is an advantage but not required.
  • Fluent written and spoken English is mandatory.

Experience

Essential:

  • Proficiency in Microsoft Office and internet applications.
  • Strong written and verbal communication skills.
  • Good interpersonal skills for cross-team collaboration.

Desirable:

  • Highly organized and deadline-oriented.

Additional Information

Salary

  • Monthly remuneration: USD 1,200.

Contract

  • Fixed-term contract lasting six months.
