The Programme Assistant (PSA2) will support UNU-IAS’s research funding programmes, knowledge management, and academic activities. The role includes assisting with grant management, organizing conferences and events, producing digital knowledge products, and supporting ICT coordination. The Programme Assistant contributes to the smooth operation of the Institute’s projects and ensures high-quality administrative support across multiple initiatives.


Key Responsibilities

  • Assist in managing external grants and funded research programmes, including reporting and contractual agreements.
  • Support the production and communication of digital knowledge products, including website content and multimedia.
  • Provide logistical support for conferences, meetings, and public events.
  • Maintain filing systems and project documentation.
  • Coordinate day-to-day ICT operations and support procurement and inventory management.
  • Contribute to fundraising activities and assist with postdoctoral fellowship programmes.
  • Perform other administrative duties as assigned by supervisors.

Qualifications

Education & Certifications

  • Bachelor’s degree in Business Administration, Public Administration, International Development, International Relations, Sustainable Development, or a related field.

Experience

  • Minimum of 3 years’ experience in office administration or related functions.
  • Experience with conference organization, contracts, and financial arrangements is desirable.
  • Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
  • Ability to work in a multi-cultural, multi-ethnic environment with respect for diversity.

Language Requirements

  • Fluency in English and Japanese is required.
  • Knowledge of another UN official language is an asset.

Additional Information

  • Contract Type: Personnel Service Agreement (PSA) – 1 year, renewable
  • Duty Station: Tokyo, Japan – On-site
  • Expected Start Date: 1 December 2025
  • Remuneration: Monthly net salary JPY 360,333–398,333; includes health insurance and 30 days annual leave
